Job Description:

Administration:

 

Provide necessary support with complete administrative services.

Assist in the preparing HR documents for staff and follow up with HR department.

Maintain an organized filing system for company documents and records (both physical and digital).

Compile data and prepare documents for consideration and presentation by Staff.

Coordinate and schedule meetings, appointments, and travel arrangements.

Contribute to team effort by undertaking additional tasks and responsibilities as requested by seniors.

Provide assistance on recruitment cycle, vacancies announcements, Longlist, Shortlist, Filling, Reference Check etc.

Assist in the Arranging the travel, hotel reservations and logistical support for Staff and donor.

Responsible administrative support to organization of conferences, workshops, retreats.

Inventory:

 

Maintain accurate inventory records and databases.

Monitor stock levels and implement effective inventory control procedures to ensure that no inventory is taken out of the storage facility without appropriate approval.

Conduct regular and periodic physical inventory counts and reconcile discrepancies.

Manage inventory transfers between different locations or departments.

Analyze inventory data to identify trends, discrepancies, and areas for improvement.

Coordinate with procurement and logistics teams to enter the new equipment into the database.

Monitor and manage inventory turnover rates to minimize obsolescence and overstock.

Communicate with suppliers to ensure timely delivery of materials and resolve any issues related to inventory shortages.

Prepare regular reports on inventory status, stock levels, and discrepancies.

Assist in the development and implementation of inventory control policies and procedures in TLO.

Ensure compliance with TLO policies, industry standards, and regulatory requirements related to inventory management.

Accurate and up-to-date inventory records of TLO Main Office and field offices.

Maintain a comprehensive and up-to-date inventory database, including stock quality, quantities, locations, and other product information.

Job Requirements:

Bachelor’s degree in supply chain management, Business Administration, or a related field.

Minimum of 4 years of experience in inventory management or a related role.

Proven experience working in an inventory management role, preferably in a warehouse or logistics environment for at least One (1) year

Experience with inventory management software

Excellent organizational and time-management abilities.

Proficiency in MS Office, particularly Excel.

Strong communication skills, both written and verbal.

Knowledge of inventory management principles and best practices.

Understanding of supply chain processes.
